This Privacy Policy (“Policy”) describes how Neurolus, LLC (“Neurolus,” “we,” or “our”) collects, uses, retains, and discloses personal information when you access our website or participate in our supervised admissions examinations and related services (collectively, the “Services”).
Use of the Services is also governed by our Terms of Service.
I. Who We Are
Neurolus, LLC is a North Carolina limited liability company that develops and administers supervised admissions examinations for adults. Neurolus is the data controller (or analogous responsible organization) for the personal information described in this Policy.
Not healthcare. Neurolus is not a healthcare provider and does not provide psychological evaluation, diagnosis, or clinical assessment. Our examinations are admissions instruments and should not be used for medical, psychological, or diagnostic purposes.
II. Information We Collect
A. Information You Provide
To administer a secure supervised examination and maintain exam integrity, we typically collect:
- full legal name
- date of birth (to confirm you are 18+)
- sex as listed on government-issued identification (used for identity verification; may also be used in anonymized research)
- country of residence (used for geographic eligibility and anonymized research)
- e-mail address (for operational communications)
You may also optionally provide background information (for example, education, vocational information, and language background). Optional information is used only for anonymized and aggregated research and to improve the Services.
If you contact us (for example by e-mail or mail), we may process the information you provide to respond, administer an exam sitting, verify identity, handle score releases, or provide support.
B. Technical and Integrity Data
Neurolus does not intentionally collect or analyze I.P. addresses, device types, or browsing behavior for ordinary visits to our public website. Our hosting, security, and delivery providers may process standard log data (such as I.P. address and user agent) as needed to provide and protect the Services.
If you subscribe to our newsletter, our newsletter provider (Buttondown) may receive and process standard technical data (such as I.P. address and user agent) for anti-abuse and delivery purposes. Neurolus does not use this technical data and does not retain I.P. addresses collected for newsletter registration.
We do not use cross-site tracking, and we do not build behavioral profiles. Where automated security indicators are used (for example, to detect spam or abuse), they are used only as signals and are subject to human review before any materially significant action is taken.
C. Payments
Neurolus does not access or store payment card information. Payments are processed by Stripe, and your payment information is handled directly by Stripe under Stripe’s policies.
D. Cookies and Similar Technologies
Neurolus does not use cookies for analytics, advertising, behavioral tracking, or profiling. Any cookies used by infrastructure or security providers are strictly necessary for security, fraud prevention, or core functionality.
III. How We Use Personal Information
We use personal information for the following purposes:
- to verify identity and eligibility (including age and residency) and administer supervised examinations
- to prevent unauthorized retakes, enforce exam integrity, detect fraud, and maintain security
- to communicate with you about registration, scheduling, exam administration, and score release
- to maintain records needed for auditability, score verification, dispute resolution, and operational continuity
- to conduct psychometric, normative, and validation research using anonymized and aggregated data
- to comply with legal obligations and enforce our Terms of Service
We do not include identifiable personal information in public research outputs. Where data is anonymized such that you are no longer identifiable, it is not treated as personal information under this Policy.
IV. How We Disclose Information
Neurolus does not sell personal information. We disclose information only on a need-to-know basis, including:
A. Proctoring Centers
Approved Proctoring Centers receive only the information needed to verify identity and supervise the examination session. Proctoring Centers are instructed to destroy physical exam materials after the examination process is complete.
B. High-I.Q. Societies
Exam results are released to a society only when you provide explicit authorization (for example, during registration by selecting a consent option or after registration through a secure score-release form). Neurolus retains a record of score-release authorizations.
C. Independent Statistical Reviewer
An independent statistical reviewer located in the Netherlands performs statistical analyses and reviews research outputs under a written data-processing agreement with confidentiality and data-protection obligations.
D. Service Providers
We use third-party service providers for hosting, e-mail, newsletters, and security. We share information only as reasonably necessary to operate the Services. Providers process information under their own privacy policies, terms, and applicable law, and Neurolus is not responsible for their independent privacy practices.
E. Legal Requirements and Integrity Protection
We may disclose information if required by law, legal process, or governmental request, or when necessary to protect exam integrity, investigate fraud, prevent prohibited retakes, enforce our Terms of Service, or protect the rights and safety of candidates and staff.
V. Legal Bases and International Transfers
Neurolus is a United States entity, and personal information is primarily processed in the United States. Limited transfers to the Netherlands occur for independent statistical review under a data-processing agreement that includes appropriate safeguards.
Where applicable (including for candidates located in the European Economic Area or United Kingdom), Neurolus relies on one or more of the following legal bases:
- contractual necessity (to administer the Services you request)
- legitimate interests (for exam security, fraud prevention, and scientific research), balanced against individual rights
- consent (for example, where you voluntarily subscribe to our newsletter or explicitly authorize score release to a third party)
When personal data is transferred internationally and required by law, Neurolus uses appropriate safeguards, such as Standard Contractual Clauses (SCCs) or other approved mechanisms.
VI. Data Retention
Neurolus maintains retention practices necessary to preserve exam integrity, support auditability, and enable long-term psychometric research.
- Core examination records: Identity information, exam responses, scoring data, proctoring records, and related administrative metadata may be retained indefinitely for exam security, verification/audit needs, and longitudinal research. Deletion requests for these records may be declined where erasure would compromise these purposes, unless Neurolus is legally required to delete the information or the research program is formally discontinued.
- Optional background information: You may request deletion or correction of optional demographic/background fields. Such requests are generally honored unless retention is necessary to maintain exam integrity, resolve disputes, or comply with legal obligations.
- Physical materials: Proctoring Centers scan and transmit answer sheets electronically to Neurolus and are instructed to destroy physical materials after transmission. Any mailed materials received by Neurolus are securely handled and destroyed after processing.
VII. Your Rights and Choices
Depending on your jurisdiction, you may have rights to access, correct, delete, or obtain a copy of your personal information; to restrict or object to certain processing; and to withdraw consent where processing is based on consent. We may require identity verification before acting on a request.
EEA/UK. If you are in the EEA or UK, you may also have the right to data portability and the right to lodge a complaint with your supervisory authority.
U.S. states and other jurisdictions. If local law provides non-waivable rights or imposes mandatory obligations (including certain U.S. state privacy laws), Neurolus will comply with those requirements notwithstanding any contractual terms to the contrary. Neurolus does not sell personal information and does not share personal information for cross-context behavioral advertising.
To submit a request, contact us at contact@neurolus.com. If we decline a request (for example, because it would undermine exam integrity), we will provide an explanation consistent with applicable law.
VIII. Eligibility and Age Restrictions
Our examinations are available only to legal adults aged 18 years or older. We do not knowingly collect personal information from minors.
IX. Changes to This Policy
Neurolus may amend this Policy from time to time. When changes are made, the Effective Date at the top of this page will be updated. Your continued use of the Services after the Effective Date constitutes acceptance of the revised Policy.
